Privacy Statement

This explains what Kiss (Keep It Simple Software), trading name of Heart Systems Ltd, does with your personal data. Contact: support@kisscrm.co.uk.
What we collect
- Account data: your name, email address, business name, and basic organisation info (organisation name, owner email, seats, plan/trial status). As set out in the signup terms, this basic account information is visible to us as the platform operator so we can run and support the service. We never look at your business records' contents.
- Your stored content: the companies, contacts, tasks, notes, and communications you choose to store in Kiss.
- Usage data: how you use the service (e.g. login times, feature use) to keep the service secure and improve it.
- Billing data: handled by Stripe. We never see or store your full card details.
How we use it (legal bases under UK GDPR)
- To provide the service you signed up for (contract).
- To take payment and meet legal obligations (contract / legal obligation).
- To keep the service secure and prevent abuse (legitimate interests).
- To improve the product (legitimate interests).
- Marketing emails only where you've opted in (consent) — you can unsubscribe anytime.
Integrations
If you connect Gmail/Outlook, calendars or Xero, we process the linked data (emails, events, contact and invoice data) only to provide those features. Disconnect any time; connection tokens can be revoked in settings.
AI assistant
To draft a follow-up, the assistant processes the relevant message context. Drafts are shown to you first — nothing is sent without your approval.
Who we share with
Stripe (payments), Google or Microsoft (only the integrations you enable), Xero, and our hosting/infrastructure providers. We never sell your data.
Retention
We keep your data while your account is active. After closure we delete it, except where law requires us to keep records (e.g. invoices).
Your rights (UK GDPR)
You can ask us for a copy of your data, correct it, delete it, restrict or object to processing, or get a portable export — email support@kisscrm.co.uk. You can also complain to the ICO (ico.org.uk).
